Purpose of this policy

We are committed to protecting your privacy and personal information, being transparent about what information we hold about you and holding it securely.

Using personal information allows us to develop a better understanding of our subscribers and customers and in turn to provide you with relevant and timely information about the work that we do – both on tour and off stage. As a not for profit organisation, it also helps us to engage with potential donors and supporters.

The purpose of this policy is to give you a clear explanation about how and why we collect and use the information we collect from you directly and from third parties. Our aim is to ensure you remain informed and that you are in control of the information we hold about you. We will never sell your personal data and will only ever share it with organisations we work with where it is absolutely necessary or where you have given your explicit consent and if the privacy and security of the data is guaranteed.

We use your information in accordance with all applicable laws concerning the protection of personal information. This policy explains:

Who we are

Adverse Camber productions is a Registered Charity No. 1196603 and a Company Limited by Guarantee Registered in England and Wales. Company No. 6858142.  We are funded by Arts Council England along with other funding bodies, trusts, foundations and individual donors and supporters.

Information collection

We collect various types of information and in a number of ways:

  • Information you give us

For example, when you subscribe on our website, fill in one of our surveys, buy from us or make a donation, we’ll store personal information you give us such as your name, email address, postal address, and telephone number. We will also store a record of your purchases and donations.

  • Information about your interactions with us

When we send you an emailing we store a record of this, and we keep a record of which ones you have opened.

  • Sensitive personal data

Data Protection law recognises that certain categories of personal information are more sensitive such as health information, race, religious beliefs and political opinions. We do not usually collect this type of information about our subscribers unless there is a clear reason for doing so. (As an example, we may collect health information about participants in a workshop or information about special interests to disseminate targeted communications).

Legal Basis

There are three bases under which we may process your data:

  • Contract purposes

When you make a purchase from us or make a donation to us, you are entering into a contract with us. In order to perform this contract, we need to process and store your data. For example, we may need to contact you by email or telephone in the case of problems with your purchase or payment.

  • Legitimate business interests

In certain situations, we collect and process your personal information for purposes that are in our legitimate organisational interests. We describe below all situations where we may use this basis for processing.

  • With your explicit consent

For any situations where these two bases above are not appropriate, we will ask for your explicit consent before using your personal information in that specific situation.

Marketing communications

We aim to communicate with you about the work that we do in ways that you find relevant, timely and respectful. To do this we use data that we have stored about you, such as what events you have booked for in the past, what products you may have purchased as well as any preferences you may have told us about and where you might live. We use our legitimate organisational interest as the legal basis for communications by post and email. Our emails aim to keep you informed about our news, activities, services, opportunities and products.

In the case of postal mailings, you may object to receiving these at any time using the contact details at the end of this policy. We will provide you with an option to unsubscribe in every marketing email that we send you, or alternatively you can use the contact details at the end of this policy.

We may also contact you by telephone, with your explicit consent. Please bear in mind that this does not apply to telephone calls that we may need to make to you related to your purchases (as above).

Other processing activities

In addition to marketing communications, we also process personal information in the following ways that are within our legitimate organisational interests:

We may analyse data we hold about you in order to identify and prevent fraud.

We may analyse anonymous data we hold about you to:

  • ensure that the content and timing of communications that we send you are as relevant to you as possible
  • improve our website, to analyse how our customers use it and its content
  • find out more about our audiences and what they think about our productions.
  • We may use profiling techniques or third party wealth screening and insightcompanies to provide us with information about you that will help us to communicate in a relevant way with you, in particular when we are approaching you about potential philanthropic support. Such information is compiled using publicly available data about you

Third parties

We do not share your information with third parties except in the following circumstances:

  • To our own service providers who process data on our behalf and on our instructions (for example our mailing list software provider). In these cases, we require that these third parties comply strictly with our instructions and with data protection laws, for example around security of personal data.   • Where we are under a duty to disclose your personal information in order to comply with any legal obligation (for example to government bodies and law enforcement agencies)
  • To specific venues or promoters where you have attended our performances and only if you have given your specific consent
  • We will never sell your details

Your debit and credit card information

If you use your credit or debit card to purchase from us or to make a donation, we will ensure that this is carried out securely and in accordance with the Payment Card Industry Data Security Standard (-DSS). We do not retain your card information.

Maintaining your personal information

We store your personal information so we can keep a track of your customer relationship with us, linking to a single unique record that we hold for you on our system.

If there are aspects of your record that are inaccurate or that you would like to remove, please use the contact details at the end of this policy.

Any objections you make to any processing of your data will be stored against your record on our system so that we can comply with your requests.

Security of your personal information

We will put in place appropriate safeguards (both in terms of our procedures and the technology we use) to keep your personal information as secure as possible. We will ensure that any third parties we use for processing your personal information do the same.

We employ a number of physical and technical measures to keep your data safe and to prevent unauthorised access to, or use or disclosure of your personal information.

Electronic data and databases are stored on secure computer systems and we control who has access to information (using both physical and electronic means).

Adverse Camber is based in the UK and we store our data within the UK. Some organisations which provide services to us (for example Mailchimp) may transfer personal data outside of the EEA, but we’ll only allow them to do it, if your data is adequately protected.

How long we store information

We will only use and store information for so long as it is required for the purposes it was collected for. How long information will be stored for depends on the information in question and what it is being used for.

Your Rights

We want to ensure you remain in control of your personal data. Part of this is making sure you understand your legal rights, which are as follows:

  • the right to confirmation as to whether or not we have your personal data and, if we do, to obtain a copy of the personal information we hold (this is known as subject access request);
  • the right to have your data erased (though this will not apply where it is necessary for us to continue to use the data for a lawful reason);
  • the right to have inaccurate data rectified;
  • the right to object to your data being used for marketing or profiling; and
  • where technically feasible, you have the right to personal data you have provided to us which we process automatically on the basis of your consent or the performance of a contract. This information will be provided in a common electronic format.

We operate an email mailing list program, used to inform subscribers about products, services and/or news we supply/publish. Subscriber personal details are collected, processed, managed and stored in accordance with the regulations named in ‘The policy’ above. Subscribers can unsubscribe at any time through an automated online service, or if not available, other means as detailed in the footer of sent marketing messages (or unsubscribe from all Mailchimp lists). The type and content of marketing messages subscribers receive, and if it may contain third party content, is clearly outlined at the point of subscription.

Email marketing messages may contain tracking beacons / tracked clickable links or similar server technologies in order to track subscriber activity within email marketing messages. Where used, such marketing messages may record a range of subscriber data relating to engagement, geographic, demographics and already stored subscriber data.
